Privacy policy

The short version: you’re keeping a record of your children’s school years. We store it so you can use it, we don’t sell it or show you ads, and you can take it with you or delete it.

1. Who we are

In Pencil is operated by LaunchCode Consulting LLC (“In Pencil,” “we,” “us”), 7901 4th Street North, Suite 300, St. Petersburg, FL 33702. This policy explains what we collect when you use the In Pencil website and planner (the “Service”), and what we do with it.

2. What we collect

Account information. Your name, email address, password (stored hashed, never in plain text), and the name you give your school.

Information about your children. The names, grades and any notes you enter, plus the plans, lessons, attendance, scores, reading logs, activities and work samples (including photos you upload) that you record.

Billing information. Payments are handled by Stripe. We receive your billing name, the last four digits of your card and its expiry date. We never see or store full card numbers.

Technical information. Basic logs needed to run and secure the Service: IP address, browser type, device type, pages requested and error reports.

3. Children’s information

In Pencil is for parents and guardians. Children don’t have accounts and don’t sign in. Everything about a child is entered by an adult on the account, who confirms they are the child’s parent or legal guardian, or have that person’s permission.

We use children’s information only to provide the Service to your household. We never use it for advertising, never build profiles of children, and never sell or rent it. You can review, correct, export or delete any child’s information at any time from Settings.

4. How we use it

To run the planner and generate the reports and transcripts you ask for.
To process payments and manage your subscription.
To send account email: receipts, password resets, and notices before your account closes. We don’t send marketing email unless you opt in.
To keep the Service secure, fix bugs and understand which features are used, in aggregate.
To meet legal obligations.

5. Who we share it with

We don’t sell personal information, and we don’t share it for advertising. We share it only:

With people you invite, such as a second adult in your household, who see what their role allows.
With service providers who host, store, email and process payments for us under contracts that limit their use of the data: Amazon Web Services (AWS), Amazon SES, Stripe.
When required by law, or to protect the safety, rights or property of our users or the public.
In a business transfer, if In Pencil is acquired or merged. This policy would continue to apply to your data, and we’d tell you first.

6. Cookies

We use only the cookies needed to keep you signed in and remember basic preferences. We don’t use advertising or cross-site tracking cookies. We don’t use analytics providers at this time.

7. How long we keep it

We keep your data while your account is open. If your subscription or free trial ends, planning pauses. For 60 days you can still sign in to subscribe; the planner stays closed during that window. We email you 30, 7 and 1 day before the account closes. After that, your account and its data are deleted from our live systems, and from backups within 30 days.

You can delete your account yourself at any time from Settings. We may keep billing records for as long as the law requires.

8. Your choices and rights

You can access, correct, export and delete your information from inside the planner. Depending on where you live, you may have additional rights, such as asking what we hold about you or objecting to certain uses. Email privacy@inpencil.app and we’ll respond within 30 days. We won’t treat you differently for using these rights.

9. Security

Data is encrypted in transit and at rest, access is limited to staff who need it, and passwords are hashed. No system is perfectly secure. If a breach affects your information, we’ll notify you as the law requires.

10. Where data is stored

In Pencil is run from the United States and your data is stored there. If you use the Service from outside the US, your information is transferred to the US.

11. Changes

If we change this policy in a way that matters, we’ll email you and show a notice in the planner at least 30 days before the change takes effect.
